2214 RESOLUTION NO.
A RESOLUTION ADMINISTRATING THE RECORDING OF PUBLIC
MEETINGS FOR THE CITY OF WEST MEMPHIS,AND FOR OTHER
PURPOSES.
WHEREAS,pursuant to A.C.A. §25-19-106 requiring that all officially scheduled,
special and called open public meetings shall be recorded, and maintained by the public entity for
a minimum of one (1)year from the date of the open public meeting, there is a need to establish
the administration of said requirement for all City of West Memphis municipal meetings; and
WHEREAS,the records retention schedule for the City of West Memphis shall be
updated to reflect the proper method of destruction for;said recordings after the time requirement
of one year has been fulfilled pursuant to state law.
NOW, THEREFORE,BE IT RESOLVED BY THE CITY COUNCIL OF THE
CITY OF WEST MEMPHIS,ARKANSAS,THAT:
Section 1: The City Council of the City of West Memphis designates that the elected City
Clerk have custody on city owned or rented property of all digital and video recordings, and
associated documents for all open public meetings held on behalf of the entity, including the City
Council and Commission meetings.
Section 2: If no prior arrangements have been made by the City Clerk in his/her absence,
the Mayor shall ensure that any public meeting on behalf of the City of West Memphis is
recorded to fulfill the requirement set forth in A.C.A. '§25-19-106. Said recording shall reside in
the custody of the City Clerk on city owned or rented property.
Section 3: Public Meeting video or digital recordings in the custody of the City Clerk are
authorized to be deleted after a period of one year from the date of the recording; but may be kept
longer at the discretion or request of any elected City'of West Memphis official.
